How to Plan a Wedding: 10 Essential First Steps After Getting Engaged

Congratulations! You said YES! If you’re wondering how to plan a wedding with out feeling overwhelmed, take these steps to help you get started.

Now, take a deep breath. You don’t have to have it all figured out overnight. At first, you may feel like it’s not so bad-then you start poking around for venues, then see the costs, then all of the rest races through your head like a lightening bolt! Now you’re feeling overwhelmed-just like that. Don’t fret, we have some things that will help you feel calmer, and in control. These next essential first steps will help your plans for your dream wedding go seamlessly.

1. Celebrate (For real, don’t skip this part!)

Before you dive onto timeline templates, wedding checklists, and venue tours-soak it all in. Tell all of your closest people, go get your nails done with your besties! Enjoy this moment, it’s definitely a celebratory-worthy moment!

2. Talk Money: What’s your Financial Comfort Zone?

This is not very romantic, but it is the most important topic to get you both started on the right foot. You need to set yourselves up for a realistic outcome during your planning stages.

  • Decide Who Pays: Discuss contributions from both of your families. Determine how much you and your partner will personally contribute as well.
  • Set the Top Number: This is your absolute maximum amount you are comfortable with. having this determined up front helps prevent overspending and disappointment later when you fall in love with a venue you can’t afford.

3. Draft your Guest List: How many?

Create an “A” list (must have guests). This guest count is the magic number that dictates your entire planning process:

  • It determines the required size of your venue
  • Heavily Influences your total budget

Pro Tip: Your guest count is easier to subtract from later than to add to after the venue is booked. Be realistic now.

4. Discuss the Vibe: Wedding Vision & Season

Forget “themes.” Talk about feel and location.

  • Season/Timing: Do you want to be married in 12 months (fast-paced planning) or 18–24 months (standard for popular PNW venues)? Having a target year and season is enough for now.
  • Vibe: Do you want a formal feel or a relaxed, soulful gathering? Do you prefer a cozy fall/winter feel or a bright summer garden party?

The Next Six: Getting Organized & Finding Your Team

With the budget, guest count, and vibe established, you can move on to the practical logistics.

5. Find Your Planner (The Best Investment🤩)

We know we are biased, but we’ve seen the difference. Booking a planner early saves you time, stress, and often money. We help you define your vision, stick to your budget, and the right vendors.

6. Secure Your Venue (#1 Booking Priority)

Once you have your guest count and budget, the venue is the very first contract you sign, Venues book up to 12-18 months in advance (even up to 24 months for the more popular ones!). Focus on a few that fit your estimated guest capacity, target month, and overall aesthetics.

7. Hire Your Photographer/Cinematographer (#2 Booking Priority)

PNW Mother/daughter Team

Like planners, top photographers book quickly because they can only take one wedding per day. Book your photo/video team immediately after the venue, They are vital to capturing your day.

8. Open a Dedicated Wedding Email

Create a new email address (yoursandtheirs.wedding@gmail.com) This keeps all vendors communication, contracts, and RSVPs separate from your work and personal life. It’s a lifesaver for organization.

9. Create a Master Planning Checklist

Whether it’s a shared Google Sheet, a physical binder, or a template or your newly hired planner, get all the steps laid out. This turns the massive task into manageable, smaller goals.

10. Get the Engagement Ring Insured

Before you travel with it, swim with it, or accidentally drop it down the sink (it happens!), call your insurance agent. Getting your engagement ring insured is simple, quick step that provides peace of mind throughout your engagement.
